This Refund Policy outlines the terms and conditions for refunds on our services, including 3D visualizations, VR experiences, interactive presentations, and multimedia content creation.
General Refund Policy
Due to the custom and creative nature of our digital production services, all sales are generally considered final once work has commenced. However, we understand that circumstances may arise, and we are committed to working with our clients to find fair solutions.
Eligibility for Refunds
Refunds may be considered under the following circumstances:
- Project Cancellation Before Work Begins: If you cancel your project before we have started any work, you are eligible for a full refund minus any non-refundable deposit (typically 20% of the project cost)
- Service Not Delivered: If we fail to deliver the agreed-upon services within the specified timeframe without valid reason
- Major Quality Issues: If the final deliverables significantly deviate from the agreed specifications and we are unable to rectify the issues after reasonable revision attempts
- Technical Failures: If technical issues on our end prevent the delivery of usable final products
Non-Refundable Circumstances
Refunds will not be provided in the following situations:
- Change of mind after project commencement
- Dissatisfaction with creative direction that was previously approved by the client
- Delays caused by client-side factors (late feedback, missing materials, scope changes)
- Minor revisions or adjustments that fall within normal project workflow
- Completed projects that have been delivered and accepted by the client
- Custom work that has been specifically created for your project
Project Stages and Refund Amounts
If a refund is approved, the amount will depend on the project stage at the time of cancellation:
- Before Work Begins: 80% refund (20% deposit retained)
- Initial Concept Phase (0-25% complete): 60% refund
- Development Phase (26-50% complete): 40% refund
- Refinement Phase (51-75% complete): 20% refund
- Final Delivery Phase (76-100% complete): No refund available
Important Note
Project completion percentages are determined by our team based on time invested, resources utilized, and deliverables produced. We will provide transparent documentation of work completed to support any refund calculations.
Revision Policy
Before requesting a refund, we encourage clients to utilize our revision process:
- Most projects include 2-3 rounds of revisions as specified in the project agreement
- Additional revisions may be available for an additional fee
- We are committed to working with you to achieve your vision within the agreed scope
How to Request a Refund
To request a refund, please follow these steps:
- Contact us via email at projects@urbannext-realty.com within 14 days of the issue arising
- Provide your project details, invoice number, and reason for the refund request
- Include any supporting documentation or evidence of the issue
- Our team will review your request within 5-7 business days
- If approved, refunds will be processed within 10-14 business days to the original payment method
Partial Refunds
In some cases, we may offer partial refunds or credits for future services as an alternative to full refunds. This may include:
- Service credits for future projects
- Discounts on additional services
- Complimentary revisions or enhancements
Dispute Resolution
If you are not satisfied with our refund decision, we encourage you to:
- Request a detailed explanation of our decision
- Escalate the matter to our senior management team
- Engage in good-faith negotiations to reach a mutually acceptable solution
Payment Method Considerations
Refunds will be issued using the same payment method used for the original transaction. Please note:
- Credit card refunds may take 5-10 business days to appear on your statement
- Bank transfer refunds may take 7-14 business days depending on your financial institution
- Payment processing fees are non-refundable
Subscription Services
For any subscription-based services or retainer agreements:
- Cancellations must be submitted at least 30 days before the next billing cycle
- No refunds will be provided for partial months of service
- Unused credits or hours may be forfeited upon cancellation unless otherwise specified
Force Majeure
We are not liable for refunds due to delays or non-performance caused by circumstances beyond our reasonable control, including but not limited to natural disasters, pandemics, government actions, or technical infrastructure failures.
